Role overview
We are hiring a Project Support Officer to support programme and project management activities within a NATO-related environment in Brussels. This is a hands-on coordination and administration role focused on project performance tracking, procurement support, stakeholder coordination, documentation management, and reporting.
The successful candidate will work closely with Programme Managers, Project Managers, internal stakeholders, external partners, and suppliers. This role requires someone who is highly organised, comfortable working in a multinational environment, and experienced in supporting projects involving budget monitoring, procurement processes, and operational administration.
Key responsibilities
• Support the Programme Manager with updates on project performance in ServiceNow and EBA, including budget execution activities
• Prepare and manage Purchase Requests and coordinate follow-up on Purchase Orders with acquisition teams and vendors
• Coordinate operational and administrative processes across the project environment
• Manage project documentation and ensure records are maintained accurately
• Arrange travel and provide general administrative support to project teams
• Support Project Managers with budget monitoring, expenditure tracking, and procurement-related actions
• Work closely with internal and external stakeholders, including supplier contacts and institutional stakeholders
• Assist with supplier management activities
• Collect, analyse, and present performance data during internal stakeholder meetings
Required experience and qualifications
• Master's degree in Business Management or a similar field, supported by at least 2 years of professional experience
• Additional degree or relevant professional experience in Strategic Communication, ideally within multicultural or multinational environments
• Experience in project support activities such as minute taking and documentation management within a NATO or military environment
• Strong working background in ServiceNow, EBA, and SharePoint operations
• Experience in budget monitoring, expenditure tracking, and procurement support, including preparing and managing purchase requests
• Strong stakeholder management experience across both internal and external parties, including governmental institutions and NATO stakeholders
• Experience in performance analysis and data reporting using Power BI
• PRINCE2 Foundation certification
• Excellent English and communicative level French
• Familiarity with stakeholder engagement principles and workplace space management activities
Candidate profile
The ideal candidate will be an experienced project support professional with a strong administrative and coordination background in complex international environments. They will be confident working with structured processes, procurement workflows, performance reporting tools, and multiple stakeholders, while maintaining a high level of organisation and professionalism.
They should also be comfortable working on-site in a formal office setting, with occasional travel and the possibility of supporting activities in implementation or construction environments requiring compliance with safety regulations and use of personal protective equipment.
